Namshi has launched a new document management platform, designed to give you complete control over your legal documents, including your Trade License, VAT Certificate (if applicable), Bank Details, and Authorized Signatory Details. Simply upload your documents to the platform, and our team will review and approve them. Once approved, you’ll have the flexibility to manage any future updates independently.


Note:

1. Updating these documents will not impact your current selling privileges

or your account status. You can continue to manage your seller account as usual.

2. If you already have an approved ‘legal entity’, you need not take any further

action and can operate your store as usual.


Steps to Re-Submit Your Documents:

1- Updating Commercial Registration

A. When the Trade License (TL) Number Has Changed:

If your TL number has changed, the process will be treated as creatig a new Legal Entity. follow the below process

  1. Log in to your seller account using this link.

  2. Navigate to Namshi Dashboard then click the three lines in the top-left corner and select Home under Namshi.com.

  3. Click on Edit Store Details then Click Add new

  4. Select Your Country on the redirected page, then click Next Step.

  5. Enter Basic Information about your registered entity, including:

    • Name of the registration authority (choose “Others” if unavailable in the dropdown and email a copy of your Trade License to partner@namshi.com).

    • License number

    • Company name and address

    • License issue and expiry dates

    • List of permitted activities (optional)

  6. Upload your Trade License, then click Create Legal Entity.

  7. Legal Entity Status: Your Legal Entity will appear in “Draft” status.


Note: Once the new LE is created, email the support team to request the delinking of the old LE.

B. When the Trade License (TL) Number Remains Unchanged

Follow these steps to update your existing Legal Entity details:

  1. Navigate to namshi Dashboard

    • Click the three lines in the top-left corner and select Home under Namshi.com.

  2. Edit Store Details

    • Click Edit Store Details.

  3. Select Your LE Name

    • Locate and click on your Legal Entity name.

  4. Update Commercial Registration (CR)

    • Click Add Commercial Registration to update your existing CR details.

  5. Edit CR Information

    • Update details such as:

      • Company Name

      • Address

      • Issue Date

      • Expiry Date

      • List of Activities

    • Then, click Create Commercial Registration.

Please note: The License Number, License Issuing Authority, and License Issuing Country cannot be changed. You can only update it by uploading a new Trade License or Commercial License


  1. Review Process

    • A new entry with the status Draft will appear. No further action is required from your side.

    • Once approved, your old CR version will be automatically deactivated.

2- Updating Tax Details

Fill out the following sections to complete the submission:

  1. In the Tax Details section, click Add Tax Details.

  2. Select the selling country and taxation status (VAT Registered or Non-VAT Registered).

    • If VAT Registered: Select this option, click Next Step, provide your registration details,

                        upload your VAT Registration Certificate, and click Add Tax Details.

  • If Non-VAT Registered: Select this option and click Add Tax Details.

Notes

Once you update the tax details, a new entry will appear with the status set to "Draft." You don't need to take any further action—our team will review it. Once approved, the previous version will be automatically deactivated.

3- Updating Authorized Signatory Details

  1. Click Add Authorized Signatory to enter details in the pop-up window, then click Create Authorized Signatory.

  2. Provide identity proof (check accepted proof types here) and ensure the Authorized Signatory name

            matches the name on the Trade License.
Scenarios:

  • If the name matches: Select “Yes” and confirm.

  • If the name doesn’t match: Select “No” and upload a Power of Attorney signed by an authorized individual.

         3. Once all details are filled, click Submit for Approval.


Once new Authorized signatory is created you need to click “Details” of OLD entry and click “Deactivate’ before submitting for Approval

4- Signing the agreement

Once submitted, your application will be reviewed, leading to one of two outcomes:

  • You will receive an approval email.

  • Link Your Legal Entity to Your Store: Go to the Partner Platform, select your Legal Entity,

            and click Link Legal Entity.

  • Review and Accept Terms & Conditions:

    • Select “Click here to send the agreement on behalf of <Legal Entity Name>.”

    • Choose the Authorized Signatory Name and click Send T&C for Review.

    • Accept the T&Cs in the email sent to your registered email ID.

Once completed, you can begin listing products on Namshi.


  • You will receive a rejection email with the reason.

  • To correct errors:

    • Go to Your approval request for Legal Entity <Number> has been rejected on the Partner Platform page.

    • You will be directed to the Legal Entity page, where you can view the rejection reasons.

                        Your Legal Entity will be in the ‘Draft Pending Resubmission’ stage.

  • You can make the required changes in any of the sections by clicking on the ‘Details’ button.

  • Make necessary updates by clicking on the details and click Submit for Approval.

  • Alternatively, you can create a new Legal Entity by clicking Overview and selecting Add Legal Entity.


Please note that if you create a new LE, you must first delink the existing LE and then relink the new LE by emailing partner@namshi.com.

5. Updating Payment Method

  1. Add New Payment Method

    • Click Add Payment Method, fill in the required details, and click Create Payment Method.

  2. Deactivate Old Payment Method

Locate the details of the old payment method, click Deactivate, and then submit for approval.
